**Job Classification:**

Regular full-time, non-exempt, 37.5 hours per week. $18.00 per hour to start.

**Education:**

* Preferred: College or Business degree in business, accounting, or office management; and business accounting software and database management coursework.
* Acceptable:Associates or non-degreed coursework/training in business, accounting, or office management, and/or business accounting software and database management coursework.

**Experience:**

* Preferred: Two years of office AR/AP and computerized bookkeeping experience. Familiarity and expertise with word processing, Excel, email, and QuickBooks. Experience in working for persons with disabilities.
* Acceptable:One year of office AR/AP and computerized bookkeeping experience. Familiarity and expertise with word processing, Excel, email, and with computerized accounting software.

**Personal:**

* Highly Desirable:Personal life experience with disability and/or familiarity with the history of the Independent Living Movement.
* Essential:Clearly demonstrated adherence to the philosophy, best practices and language usage that support consumer empowerment and self-determination. Articulate with strong written and verbal communication and writing skills. Strong organizational and follow-up skills. Able to successfully perform diverse functions. Familiarity with non-profit culture and fiscal practices.

**Essential Job Functions**

**Transition and Employment (T&E)**

* Assist with processing and verification of fee-for-service and grant billing and documentation.
* Track service provision and related reporting, documentation.
* Follow up with direct service staff for complete and acceptable documentation as evidence of services.
* Track and validate authorizations for services, communicate with funders to request authorizations for services as needed.
* Assist with preparation of receivable invoices, related documentation.
* Support tracking staff attendance and benefit time, staff trainings, staff clearances; conduct background checks for possible exclusions as a provider; review expense reports.
* Assist with record and data management, and storage of records for all services in multiple formats.
* Assist with preparation for monitoring and/or reporting for multiple funders.
* Assist with assuring funder and waiver compliance.
* Assist with processing of new referrals, new authorizations for services, new service requests.
* Monitor participant progress and report discrepancies to supervisor.
* Assist with supplies and inventory ordering and stocking.
* Maintain multiple Excel databases.
* Maintain confidentiality in all situations that may lead to disciplinary measures for other LVCIL staff (due to oversight of billing and administrative tasks, Administrative Support staff will be privy to issues that may lead to disciplinary measures for other staff).
* Communicate all potential and confirmed issues regarding administrative and/or billing tasks to supervisor(s), or, in their absence, the Assistant Executive Director, to determine a plan for communication to staff.
* Function as a part of the Transition and Employment team and attend related meetings.

**Payroll**

* Input information for new hires. Process time sheets, W-4’s, direct deposit and wage deductions.
* Process and balance each payroll cycle, including, but not limited to, entering regular and overtime hours, deductions and adjustments.
* Process bi-weekly payroll for hourly and salaried employees.
* Audit and analyze payroll records and related reports including payroll register and wage deductions.
* Resolve payroll processing issues and provide superior customer service to all internal and external customers.
* Process pension plan contributions.

**SLIRS (as needed)**

* Support all operations of LVCIL’s Sign Language Interpreter Referral Service (SLIRS).
* Take requests for sign language interpreters via phone, fax, personal contact, and Internet. Seek appropriate available interpreter via phone, fax, personal contact and Internet. Complete all necessary paperwork; verify confirmation information with interpreter and requester.
* Process and track all necessary entries into QuickBooks for A/R and A/P; work cooperatively with all program and fiscal staff. Work with automated governmental billing systems as needed.
* Provide all aspects of customer service and education to consumers, Interpreters, and program users.
* Assist with routine collection calls.
* Provide bi-weekly cell phone after hour emergency coverage of referral service and other miscellaneous LVCIL program calls.
* Assist with corporate credit card reconciliation.
* Learn grant billing and reporting processes, related administrative roles, and serve as back-up to Director of Finance.

**LVCIL Team Support**

* Serve as a member of full LVCIL Team – attend required meetings.
* Provide general customer service to consumers with respect to absence of other team members as requested, always assure provision of quality services.
* Assist in smooth agency operations; assist as needed with special events.
* Rare offsite travel via independent, readily available means of transportation. Provide evidence of your (or your driver’s) valid driver’s license, vehicle registration, and vehicle insurance on an annual basis.

**General**

* Maintain a detailed daily schedule in Outlook. Communicate schedule changes to supervisor.
* Record time in CILSuite daily and provide time sheets every other week as scheduled.
* Responsible for other duties as specified by the T&E leadership team, Assistant Executive Director, or Executive Director.
* Accept responsibility as directed for other miscellaneous agency needs.

**Accountability**

The Administrative and Fiscal Support Staff is responsible to and will be evaluated by the T&E leadership team and the Director of Finance, or, in their absence, the Assistant Executive Director and/or Executive Director.
